Working with CRM records
Lists, filters, record pages, history, and deleting records in the Sales module.
The Sales section of the sidebar holds the CRM: Companies (accounts), Contacts, Leads, Opportunities, Contracts, and Products. All of them work the same way. This page covers what they share.
Overview shows the companies, contacts, leads, opportunities, and contracts lists on one page.
Lists
Each list is a table with a toolbar above it.
- Filter box: type to narrow the list. Companies and opportunities filter by name, contacts by last name, leads by company, contracts by title, products by name.
- Status: pick one or more statuses. Products also have a Type filter.
- Reset: clears all filters.
- View → Toggle columns: show or hide columns.
- Row menu (…): View opens the record, Update edits it in a side panel, Delete removes it. Products have Edit and Delete.
Create a record
Click + in the card header of a list. A side panel opens with the form. Fill in the fields and click the create button at the bottom, for example Create account or Create contact. Required fields are marked; the form tells you what is missing.
You can also create related records from inside a record. For example, the company page has its own contacts, opportunities, contracts, and leads cards, each with a + button.
Record pages
Open a record to see its page. Companies, contacts, leads, opportunities, and contracts have two tabs:
- Overview: the record's fields, then cards for related records, activities, and documents.
- History: every change made to the record.
To edit a record from its page, click the … button in the top card and choose Update.
History
The History tab lists changes newest first. Each entry shows who made the change, when, and a badge: created, updated, deleted, restored, linked, or unlinked. Updates list each changed field with the old value, an arrow, and the new value. Changes made by background jobs show as System.
Find similar records
Companies, contacts, leads, and opportunities have a Find Similar button on the Overview tab. It opens a panel with up to five records that are close in meaning, each with a match score. Use it to spot duplicates or comparable deals.
If you see "Still generating similarity data. Check back shortly.", the record has not been processed yet. This feature needs AI to be set up on your instance.
Watch a company
To add yourself to a company's watchers, open the row menu in the Companies list and choose Watch Account. To stop, choose Stop watching Account.
A watcher can see and edit the company and see the contacts, leads, opportunities, and contracts linked to it. Because watching gives edit access, users can only watch a company they can already edit. In practice that is every company in your list: users see the companies they are assigned to, created, or watch, and they can edit all of those.
Delete a record
Choose Delete in the row menu and click Continue in the confirmation dialog.
Deleted companies, contacts, leads, opportunities, and contracts are only hidden. The confirmation dialog says so, and an admin can restore them from the audit log.
Who can change what
- Users can edit and delete contacts, leads, opportunities, and contracts they are assigned to or created, and companies they are assigned to, created, or watch. Records you can only see because they are linked to your company are read-only for you.
- Managers and admins can edit and delete any record.
- Only managers and admins can create, edit, import, or delete products.
