Profile and settings
Your photo and details, language, mailboxes, Google Calendar, AI keys, and API tokens for AI agents.
Open your profile from the menu under your name at the bottom of the sidebar (Profile Settings), or press Shift+⌘P (Shift+Ctrl+P on Windows and Linux). The page has seven tabs.
Profile
- Profile Photo: drop an image into the upload area. Check the preview, then click Save photo, or Cancel to discard it.
- Personal Information: edit Full name, Username, and Company, then click Update profile.
Security
NextCRM has no password of its own. You sign in with Google or an email code, so password changes happen with your identity provider.
Preferences
Choose your Language: English, Czech, German, or Ukrainian. The interface switches right away and the choice is saved to your account.
Email Accounts
Connect your IMAP/SMTP mailboxes here. See Email for the steps.
Calendar
Connect Google Calendar so meetings with your contacts show up as activities. Your admin must have set up Google Calendar for your instance first.
Click Connect Google Calendar.
Sign in to Google and allow access. You return to the profile with "Google Calendar connected."
The connection appears with its Google address and status. Inbound only means NextCRM reads your calendar. Two-way means it also writes meetings you log in NextCRM to your calendar.
To turn on two-way sync, click Enable two-way sync and approve the wider access in Google.
The status line shows when the calendar last synced, or Waiting for first sync. If Google access is revoked or expires, it shows Needs reconnect. Click Reconnect to fix it. Disconnect removes the connection.
With two-way sync on, meetings you log in NextCRM send real Google invitations to the linked contact. Read Meetings from Google Calendar before you turn it on.
If you see "Google did not return a refresh token", remove NextCRM's access at myaccount.google.com/permissions and connect again.
LLMs
Some AI features need API keys. Your admin can set keys for everyone. If they haven't, you can add your own here:

Paste the key and click Save. The card then shows the masked Current key. Click Remove to delete it.
If the card says "A system-wide key is active — your key is not in use.", your admin's key takes priority and yours is ignored.
Developer: API tokens for AI agents
An API token lets an AI agent, such as Claude Desktop or Claude Code, work with your CRM data through MCP. The agent gets the same access as you: it sees and changes only what you can.
Create a token
Open the Developer tab. Under API Tokens, enter a token name, for example Claude Desktop.
Optionally pick an expiry date.
Click Generate.
In Token Created, click Copy to clipboard. Tokens start with nxtc__.
The token is shown only once. Store it somewhere safe, like a password manager. Anyone with the token can act as you.
The table lists your tokens with Name, Prefix, Created, and Expires. Click Revoke to disable a token you no longer use or that may have leaked. Revoking cannot be undone.
Connect your AI agent
Click Copy MCP Config under Claude Code Skill. It copies a configuration like this:
