Companies and contacts

Add companies (accounts) and the people who work there, and see everything linked to them.

In the sidebar, companies appear as Companies. On pages and forms they are called accounts. Both words mean the same record.

Add a company

Go to Sales → Companies and click +.

Fill in Account name (required) and any other fields: Office phone, E-mail, Website, Account ID, Account VAT number, billing and shipping address, Annual revenue, Is member of (a parent company), and Choose industry.

Click Create account.

If your admin has installed a company registry plugin, a country selector and a Load from registry button appear under Account ID. Enter the registration number, pick the country, and click Load from registry to fill in the company details. If nothing is found, you see "Company not found in the registry."

The company page

The Overview tab shows the company's details, billing and shipping address, and these cards:

  • Case study: mark a happy client as a reference.
  • Activities: calls, meetings, notes, and emails. See Activities and tasks.
  • Find Similar: see Working with CRM records.
  • Tasks: follow-up tasks for this company.
  • Opportunities, Contacts, Contracts, Leads: records linked to the company, each with + to add a new one already linked.
  • Products: products and services this company has. See Contracts and products.
  • Documents and Invoices linked to the company.

Case studies

To suggest a company as a case study, click Flag as candidate on the Case study card. The card shows a Candidate badge. To take it back, click Withdraw candidacy.

Managers and admins see Approve case study on candidates. After approval the badge reads Approved, and they can click Revoke approval to undo it. Marketing should only reference approved companies.

Add a contact

Go to Sales → Contacts and click +. Or click + on the Contacts card of a company page to link the contact to that company.

Fill in Last name (required) and any other fields, such as First name, Position, Email, Personal email, Mobile phone, Office phone, Birthday - (optional), and social profiles.

Choose Assign an Account to link the contact to a company, Assigned user for the owner, and Contact type: Customer, Partner, or Vendor.

Click Create contact.

Always enter the contact's email address. NextCRM uses it to link synced emails and calendar meetings to the contact, and AI enrichment needs it.

The Overview tab shows the contact's details with an Enrich with AI button (see AI enrichment), then Activities, Find Similar, and the contact's companies, opportunities, and documents.

Emails and meetings on companies and contacts

When you connect a mailbox in your profile, NextCRM checks each synced message. If the From, To, or Cc address matches the email of a contact or a company, the message is linked to that record. Bcc addresses are ignored. See Email.

When you connect Google Calendar, meetings with a contact's email address become Meeting activities on the contact and the contact's company. See Activities and tasks.
