Getting started

Sign in, find your way around, change the language, and search across the CRM.

Sign in

The sign-in page offers two methods. Your administrator decides which ones work for your organization.

Click Continue with Google and choose your Google account.

NextCRM has no passwords. Your session stays signed in for up to 7 days.

Waiting for approval

New accounts start as pending. Until an administrator activates yours, you see a page that says your account must be allowed by Admin, with a list of admins you can email. After they approve you, click Try again. If an admin deactivates your account, you see a similar page and cannot use the app.

The screen layout

  • Sidebar (left): the modules. Click the sidebar edge or the toggle button at the top of the page to collapse it to icons.
  • Header (top): the search box, then the command menu hint, language selector, feedback button, display currency, light/dark theme toggle, and help links.
  • Your name (bottom of the sidebar): a menu with Todo Dashboard, Sales Dashboard, Profile Settings, and Logout.

Roles and what you can see

Every user has one of three roles: user, manager, or admin.

  • Managers and admins see every company, contact, lead, opportunity, and contract.
  • Users see records they are assigned to or created, plus records linked to a company they are assigned to, created, or watch.

CRM lists and search follow these rules. If a colleague mentions a record you can't find, ask them to assign it to you or ask a manager.

The dashboard

Dashboard shows Total revenue and Expected revenue, followed by cards with counts for Active users, Invoices, Campaigns, Targets, Companies, Deals, Contacts, Leads, Contracts, Projects, Tasks, My tasks, and Documents, plus your Storage use. Most cards open the matching list.

Money amounts appear in your display currency. To change it, click the currency button in the header (for example $ USD) and pick another currency. Amounts are converted using the exchange rates your admin maintains.

Send feedback

Click the feedback button in the header, write your message, and send it. It goes by email to every active admin of your NextCRM instance, not to the NextCRM project.

Change the language

NextCRM is available in English, Czech, German, and Ukrainian. To switch:

  • Use the language selector in the header (shown on wide screens), or
  • Go to Profile Settings → Preferences → Language.

The setting is saved to your user account.

To search everything at once, type at least two characters into Search something ... at the top of the page and click Search.

Results are grouped into Accounts, Contacts, Leads, Opportunities, Projects, Tasks, Users, and Documents, with up to 10 hits per group. Each result carries a badge:

  • Keyword: the words you typed appear in the record.
  • Semantic: the record is close in meaning, even if the words differ.
  • Best Match: both.

Semantic matching needs AI to be set up on your instance. Without it, search falls back to keywords. You only get results you are allowed to see.

Command menu

Press ⌘K on a Mac or Ctrl+K on Windows and Linux to open the command menu (⌘J / Ctrl+J also works). Type to find documents by name, or pick Dashboard, Profile settings, or Logout.

Keyboard shortcuts (use Ctrl instead of ⌘ on Windows and Linux):

Logging out has no shortcut. Use Logout in the command menu or in the menu under your name.
