Projects and tasks

Organize work on kanban boards, track tasks, and discuss them with your team.

Open Projects in the sidebar. The page lists the projects you can see and has buttons for New project, New task, All tasks, My tasks, and Dashboard.

You see a project if you created it, it is shared with you, you watch it, or its visibility is Public. Managers and admins see all projects.

Create a project

On the Projects page, click New project.

Enter a Project name and a Description.

Choose a Visibility: Public or Private.

Click Create.

To open a project, click its name in the list, or use the row menu and choose View detail. The same menu has Edit, Watch project, Stop watching, and Delete.

Work on the board

Each project is a kanban board made of sections (columns). Tasks sit inside sections as cards.

  • Add a section: click New section at the top of the board, or the plus icon after the last column. Enter a Section name and click Create.
  • Rename a section: type into the section title field. The new title saves automatically.
  • Delete a section: click the trash icon next to the section's task count.
  • Move a task: drag the card to another position or another section.
  • Add a task quickly: click the plus icon at the top of a section. This creates an untitled task in that section, which you can then edit.

A warning icon on a card means the task is overdue. A check mark means it is done.

Each card has a menu with View, Edit, Mark as done, and Delete. Edit and Mark as done are hidden once a task is complete.

To delete the whole project, click the red trash button at the top right of the board and confirm in the Delete project dialog.

Create a task

You can create a task from two places:

Click New task. Fill in Task name, Description, Due date, Assigned to, Project, and Priority, then click Create. The task goes into the chosen project.

Priority can be Low, Medium, High, or Critical.

Deleting a task removes it permanently, together with its comments.

Task detail

Open a task with View to see its due date, priority, status, and the people involved. Under Task Actions: you can click Mark as done or Edit.

The detail page also shows:

  • Task documents: files attached to this task. Use the row menu to View a file or Disconnect from task.
  • Available documents: other documents in the system. Use Connect to task to attach one.
  • Team conversation: comments on the task. Type into Your comment ... and click Add.

Task lists

  • All tasks lists tasks in a table you can filter by name (Filter tasks...), Status, and Priority.
  • My tasks lists the tasks assigned to you.

Task status is Active, Pending, or Complete.

Projects dashboard

Click Dashboard on the Projects page, or Todo Dashboard in your user menu at the bottom of the sidebar. The dashboard shows two groups of open tasks:

  • Tasks due Today: tasks whose due date has arrived or passed.
  • Tasks due in 7 days: tasks due within the next week.

Each card links to the task (View task) and lets you open the Chat (the task's team conversation), Mark as done, or Edit it. With the user role you see your own tasks here. Managers and admins see everyone's.
