Activities and tasks

Log calls, meetings, notes, and emails on records, sync meetings with Google Calendar, and track company follow-ups.

Activities

Companies, contacts, leads, opportunities, and contracts each have an Activities card on the Overview tab. It lists the record's calls, meetings, notes, and emails, newest first. Click Load more to see older ones.

Log an activity

On the record page, click Log activity.

Choose a Type: Call, Meeting, Note, or Email.

Enter a Title * and a Date & Time *.

Set the Status: Scheduled, Completed, or Cancelled. Calls and meetings start as Scheduled, notes and emails as Completed.

Fill in the extra fields for the type: Duration (minutes) and Outcome for calls and meetings, Email Subject for emails. Add Notes if needed.

Click Log activity.

To change an activity, click the pencil icon, edit the fields, and click Save changes. A common case is setting a finished call to Completed and filling in the Outcome.

To remove an activity, click the trash icon and confirm Delete in the Delete activity? dialog.

You can edit and delete activities you created. Managers and admins can edit and delete any activity.

Meetings from Google Calendar

After you connect Google Calendar in your profile (see Profile and settings), NextCRM reads your calendar every 15 minutes.

For each event, NextCRM looks at the attendees' email addresses:

  1. If an attendee matches a contact, the event becomes a Meeting activity on that contact and on the contact's company. If the company has exactly one active opportunity, the meeting is linked to it as well.
  2. Otherwise, if an attendee matches a campaign target, the meeting is linked to the target.
  3. Otherwise, if an attendee matches a lead, the meeting is linked to the lead.

Events with no matching attendee are skipped. When an event is moved in Google Calendar, the activity date follows. When it is cancelled, the activity status changes to Cancelled.

Two-way sync

With Enable two-way sync turned on in your profile, meetings also flow the other way:

  • When you log a Meeting activity with a future date, NextCRM creates the event in your Google Calendar. The linked contact (or target, or lead) is added as an attendee and receives an invitation from Google.
  • When you change the meeting's title, notes, date, or duration, the Google event is updated and attendees get an updated invitation.
  • When you delete the meeting activity, the Google event is cancelled and attendees are notified.

Two-way sync sends real invitations to your customers. Check the date and the linked contact before you save a meeting.

NextCRM does not push meetings dated in the past, and it does not change events that someone else organized.

Company tasks

Company tasks are follow-ups attached to a company, separate from project tasks. They appear on the Tasks card of the company page.

To create one, click + on the Tasks card. In Create new Task, fill in New task name, Task description, Task due date, Choose task priority, and Assigned to, then click Create.

In the card's row menu, View opens the task and Delete removes it. The task page shows Task details, attached documents, and a Team conversation. To comment, type in Your comment ... and click Add.

Your own open company tasks also appear on Sales → My Dashboard under My Tasks. For project boards and project tasks, see Projects.
